- Website enquiry data: retained for 2 years from date of submission
- Marketing contact lists: retained until you unsubscribe or request removal
Design Bot (WhatsApp & Social Media):
- Chat conversation logs and design briefs: retained for 3 years from the date of last interaction, to support project continuity and dispute resolution
- Uploaded brand assets and image files: retained for the duration of the active project plus 12 months, after which they are securely deleted unless the client requests extended storage
- Payment references shared via the Bot: retained for 7 years in line with financial record requirements
- Inactive Bot accounts with no engagement for 24 months will have associated data anonymised or deleted
Data Security
We take the security of your personal information seriously and implement appropriate technical and organisational measures to protect it against unauthorised access, alteration, disclosure, or destruction. These measures include:

Design Bot — App-Specific Privacy Policy
The LifeDesigns Design Bot ("the Bot") is our official client service application operating on WhatsApp and other social media platforms. It enables clients to submit design briefs, track project progress, communicate with our design team, receive completed design files, and manage payments — all through a familiar messaging interface.
This section sets out privacy practices specific to the Bot and should be read alongside the general provisions of this Policy.
10.1 — Data Collected by the Design Bot
When you interact with the Design Bot, the following information may be collected:
- Identity & Contact: Your name, WhatsApp number, social media handle, and email address (where provided during registration or onboarding)
- Design Briefs & Prompts: All text messages, creative instructions, revision requests, and project descriptions you send to the Bot
- Uploaded Assets: Brand logos, reference images, photos, fonts, and any other files you share with the Bot in connection with a design project
- Project Tracking Data: Project status updates, approval records, delivery confirmations, and revision history
- Payment Information: Transaction references, proof of payment screenshots, and billing details you provide to confirm payments
- Interaction Data: Timestamps of messages, response times, and feature usage patterns used to improve the Bot's performance
The Design Bot does not store your full financial account details, card numbers, or banking credentials. Any payment confirmation is handled by reference number only.
10.2 — How the Bot Uses Your Data
- To authenticate your identity and retrieve your active project details
- To receive and log design briefs and relay them to the LifeDesigns creative team
- To send you project status updates, proof approvals, and delivery notifications
- To deliver completed design files directly through the Bot's messaging interface
- To record and confirm payment receipt and update your project status
- To respond to support queries, answer FAQs, and escalate complex issues to a human team member
- To improve the Bot's accuracy, language understanding, and response quality over time
10.3 — WhatsApp & Platform Data Practices
The Design Bot operates through WhatsApp Business API and may also be accessible via other social media platforms. When you message the Bot, your interaction is subject to both this Privacy Policy and the privacy policy of the relevant platform (e.g., Meta/WhatsApp). - LifeDesigns does not control WhatsApp's data practices or infrastructure
- Messages sent through the Bot may be subject to WhatsApp's end-to-end encryption
- We only access the content of messages to the extent necessary to provide the service
- We do not use Bot conversation data for third-party advertising purposes
10.4 — Uploaded Files & Brand Assets
Any files you upload to the Design Bot — including logos, photos, and brand assets — are treated as confidential client materials. They are:
- Stored securely in our cloud systems with access restricted to the assigned design team
- Used exclusively for the purpose of completing your commissioned design work
- Never shared with unaffiliated third parties without your written consent
- Deleted or archived in accordance with the retention schedule in Section 5
By uploading files to the Bot, you confirm that you have the legal right to use and share those materials and that doing so does not infringe any third-party intellectual property rights.
10.5 — Opting Out of the Design Bot
You may opt out of communications from the Design Bot at any time by:
- Sending the message STOP to the Bot on WhatsApp
- Contacting us at privacy@lifedesigns.co.zw to request deactivation of your Bot account
- Blocking the Bot's number on WhatsApp
Please note that opting out of the Bot does not cancel any active design projects or payment obligations. Project communications will then be handled via email or phone.
10.6 — Automated Processing & Human Review
The Design Bot uses automated processing to handle routine requests such as project status checks, FAQ responses, and file delivery. For complex briefs, revision discussions, or issues requiring creative judgement, conversations are reviewed and handled by a member of the LifeDesigns team. You have the right to request human review of any Bot interaction by messaging "SPEAK TO A PERSON" at any time.
Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we make changes, we will update the "Last Updated" date at the top of this page. We encourage you to review this policy periodically. Continued use of our services following any update constitutes your acceptance of the revised policy.
For significant changes affecting the Design Bot, we will send a notification via the Bot to all active users prior to the changes taking effect.
